A major wholesale chain consisting of more than 200 stores and 60,000 employees struggled with painfully manual processes when it came to end-of-year profit distribution for its staff. They decided it was time to automate.
The challenge
- Integrate three distinct, complex systems – Oracle, ADP, and calculation percentage software
- Replace manual ADP data extraction into spreadsheets to calculate payout amounts
- Accurately count eligible employees
- Reduce employee time and money used for calculations
- Time – get the solution out quickly in order to meet end of year quarter for annual payouts
The Objective
There was no automation to extract employee data from ADP and calculate authorized employee values – making the process exhaustive, time-consuming, and expensive. The main goal of the project:
- Process automation and integration between ADP and the system performing automatic calculations
The plan
Digibee automated their processes and integrated an application allowing data to enter directly into the company’s database. The Digibee platform was the integral piece to their digital ecosystem – connecting employee data in ADP, their Oracle database, and system used to calculate amounts to be paid.
The solution included file ingestion, multiple encryptions, and database loading. Digibee ensured the highest level of security and compliance for the business, processing sensitive employee data securely and easily. The entire process took two months and involved extensive collaboration between the Digibee team, the client’s HR and IT groups, and external analysts from ADP.
The Outcome
Digibee met the deadline and employee payments for the new year were distributed automatically and accurately.
